Transparency note: this case is anonymized at the client's request — we don't publish the community's name or its admin's. The steps and technical approach are real.
The problem
The community already had several thousand active members, but every new person got welcomed by hand, one at a time. The admin and their team spent several hours a week on that task alone — time they couldn't spend growing the community or improving content.
What we built
- A welcome bot that automatically replies the moment someone joins, with the community's rules and a clear next step.
- A simple qualification flow to separate generic questions from ones that needed direct attention from the team.
- A tracking panel so the admin could see, at a glance, how many new people were joining per day.
The result
The team stopped manually answering repetitive messages and redirected that time toward moderating and growing the community. The admin still has full control over content and rules — we deliver the infrastructure, we don't run the community.
